2024 Grillstock Vendor Application

We welcome all vendors who can provide an excellent experience to festival attendees. Please fill out the application form and submit it before the deadline, August 16th at Noon. Good luck!
The cost for vendor space is $40. The festival will take place on September 14, 2024.

We will do our very best to NOT have multiple booths selling the same items. In order to assist us with this, we ask that you note (provide pictures) what your items are so that we can properly vet the applications. 

Application Process: All vendors must complete and submit an application form to be considered for participation. The festival committee will review all applications and select vendors based on their products, services, and the overall suitability for the festival.
Rental Space: Vendors will be assigned a rental space for their booth. The rental space is 10'x10' and will be determined by the festival committee and  assigned on a first-come, first-served basis. No electric is available for any vendor space.
Setup and Dismantling: Vendors must set up their booths according to the designated times and dismantle their booths only after the festival has ended. Vendors are responsible for cleaning their rental space before leaving the premises.
Product Display: Vendors are responsible for the setup and display of their products. All displays must be within the rental space and cannot impede foot traffic or interfere with other vendors.
Health and Safety: Vendors are responsible for ensuring the safety of their products, services, and equipment. Vendors must follow all health and safety guidelines provided by the festival committee.
Liability: Vendors are solely responsible for any damages or injuries caused by their products, services, or equipment. Vendors must maintain their own insurance policies to cover any liability claims.
Conduct: Vendors must conduct themselves in a professional and courteous manner at all times. Any behavior deemed inappropriate or offensive by the festival committee will result in immediate removal from the festival.
Termination: The festival committee reserves the right to terminate the rental agreement at any time, without cause or reason, with a prorated refund of the rental fee.
All food must be properly sealed, labeled, including a list of ingredients and any potential allergens.

Beverages (alcoholic or non-alcoholic) are strictly prohibited from being sold or distributed from any vendor space. Pre-package food products will be approved on a case by case basis.

We hope that these rules and regulations will ensure a successful and enjoyable festival experience for all participants. If you have any questions or concerns, please do not hesitate to contact the festival organizer.

By participating as a vendor at Grillstock, you agree to hold harmless and indemnify Grillstock and its organizers, directors, officers, agents, employees, and volunteers (collectively, the "Indemnified Parties") from and against any and all claims, demands, actions, suits, damages, liabilities, losses, settlements, judgments, costs, and expenses (including reasonable attorney's fees and expenses) of whatever nature, whether known or unknown, foreseen or unforeseen, that may arise out of or in connection with your participation as a vendor at the festival.
You agree to defend, indemnify, and hold harmless the Indemnified Parties from and against any and all claims or demands asserted by any third party that may arise out of or in connection with your participation as a vendor at the festival, including but not limited to claims or demands for bodily injury, property damage, or infringement of intellectual property rights.
You acknowledge and agree that this hold harmless statement shall be binding upon you and your heirs, executors, administrators, and assigns, and that it shall remain in full force and effect regardless of whether your participation as a vendor at the festival terminates for any reason.

You are required to collect sales tax for items sold. It is your responsibility to submit sales tax to the Oklahoma Tax Commission. Sales tax rate for Moore is 8.51% (state, county and city). 

If you are a Non-Profit, we require that you offer a child-friendly activity in your booth space. This is an important aspect of the providing a welcoming and engaging environment for families attending the event. By providing an interactive and enjoyable experience, you should attract more visitors. It is important to note that the activity should be appropriate for children of all ages and should align with your organization's values and mission. 

A few ideas: Face painting, Balloon twisting, Arts and Crafts area, Carnival games such as ring toss, or corn hole, storytelling session, bubble station, get creative and most of all have fun!
